Saving placeholder message to clinical system when message is first received

We have this enabled, but for some reason it has chosen a member of staff who works part time, so on the consultation page it looks like they have added the placeholder, raised with support who recommended to suggest to add improvement , so would like to improve this feature to allow us to set the user or if can be defaulted to the EMIS API User by default. when a request comes into the practice and is automatically added to patients record.
